  • Q: What types of Windows licenses does Lenovo offer?

    A: Lenovo offers OEM licenses for Windows Server, SQL Server as well as the associated CAL products. Please refer to the product list found at: https://dcsc.lenovo.com/#/software.

  • Q: What is the difference between ROK and DIB and Pre-installed offerings?

    A:ROK – the Reseller Option Kit is sold by Lenovo’s authorized resellers and distributors. It is comprised of OS installation media and a MS COA label affixed to the server chassis. Resellers may provide additional OS installation services to the customer.

    DIB (Drop-In-Box) – Lenovo factory direct offering that ships OS installation media and a MS COA label affixed to the server chassis (for customers choosing do-it-yourself installations).

    Pre-installed – Lenovo factory direct offering that ships OS installation media and MS COA label affixed to the server chassis and the OS factory installed in generic fashion onto the server’s mass storage using recent device drivers.

  • Q: How is Windows Server 2019 licensed?

    A: Microsoft has moved licensing for Datacenter and Standard editions from processors to physical cores.

    Datacenter Edition provides rights to run unlimited OSEs and unlimited Windows Server containers when all physical cores on the server are licensed.

    Standard Edition provides rights to run up to two OSEs or two Hyper-V containers and unlimited Windows Server containers when all physical cores on the server are licensed.

    With Windows Server 2016/2019 Datacenter/Standard:

    • Each physical server is required to be licensed for all physical cores
    • Each physical processor is required to be licensed with a minimum of 8 physical cores
    • Each physical server is required to be licensed with a minimum of two processors, totaling a minimum of 16 physical cores
    • Core licenses are sold in packs of two (that is, a 2-pack Core License)

    Essentials Edition remains on the processor-based licensing and covers servers with 2 CPUs.

  • Q: What are CALs and do I need them?

    A: CALs (Client Access Licenses) are separately purchases licenses that allow Users or Devices to access resources on a licensed Windows Server OS environment.

    Essentials Edition provides support or up to 25 Users; no additional CALs are needed.

    Datacenter and Standard Edition include no CALs as part of the Base license. Customers must purchase User or Device CALs appropriate for their needs.

  • Q: What is a “Base license” versus an “Additional license”?

    A: The 16 core Datacenter and Standard edition Base licenses provide the minimum OS licensing basis for a physical server. Each server requires at least one Base license.

  • Q: How are the MS OEM OS licenses delivered?

    A:Base licenses for Datacenter, Standard and Essentials include a Certificate of Authenticity (COA), product key (PK), product software (OS installation DVD), and the Microsoft Software License (formerly known as EULA). Lenovo or Lenovo Resellers will affix the base license COA label to the server chassis (exception being offerings for Windows Server Datacener w/ Reassignment where the COA remains with the SW Shipgroup that contains the OS installation media).

    Additional licenses for Datacenter and Standard include a Certificate of Authenticity (COA), and the Microsoft Software License (formerly known as EULA). The Additional license-COA label is contained affixed to a card in the shrinkwrapped SW Shipgroup (there is no product key included).

    Extreme care must be taken to safekeep the provided COA labels (whether they are affixed to the server chassis or contained on the provided SW shipgroup) since there is no way to “reissue” or “replace” these COA labels.

  • Q: Which licenses are available for purchase after point of sale (APOS)?

    A: Currently Microsoft limits the sale of OEM Base OS license offerings for Essentials, Standard and Datacenter editions to “at Point of Sale” (of the server hardware). However, additional licenses for Standard Edition are also available as “APOS” versions to facilitate customer’s changing need for HW upgrades or adding additional VMs.

  • Q: What are my downgrade rights?

  • Q: Are RDS CALs version specific?

    A: Yes, RDS CALs version must match that of the RDS Host Server’s OS.

  • Q: Are OS CALs version specific?

    A: CALs are only backwards version compatible, e.g. Windows Server 2019 CAL can be used to access Windows Server 2019 and previous versions.

  • Q: Lenovo provided OS media will not install under VMware ESXi.

    A: When attempting to install Microsoft Windows Server using Lenovo-provided installation media into a virtualized computing environment created by VMware ESXi, the install may fail and an error message similar to this is shown:

    "Please check with your computer manufacturer to resolve any issues you are having with this computer. These tools are built to only run on Lenovo computers. Since this system is not recognized as a valid system, the installation cannot continue."

  • Q: Where is my Activation code?

    A: If your SW offering requires an activation code (see #6), then it is printed on a COA label similar to the one pictured here:

    Most OEM Base OS COAs must be adhered to the server chassis, Depending on the server chassis, the COA label can be found on the top, or the side chassis (typically adjacent to agency labels):

    However, due to space constraints, the COA may also be found on the bottom chassis:

    Base OS license products “with reassignment” rights are an exception: its COA is attached to a card that is delivered alongside the server shipment.

    Note that OEM COAs are “tied” to the hardware with which they were originally purchased with and cannot be transferred to another system unless Microsoft Software Assurance is added within 90 days of buying the server or when reassignment rights are specified within the product terms (e.g. included in “Windows Server 2019 and 2016 Datacenter w/Reassignment Rights” SKU).

    CAL offerings do not include an activation code, their CAL-COA labels are proof of purchase only.

    RDS CAL offerings do include an activation code on their RDS-COA label which is affixed to a card contained in the shrinkwrapped SW Shipgroup.

  • Q: Can I use my OEM activation code on an image installed with Evaluation or Retail OS images?

    A: By Microsoft design, the 25-character activation code (a.k.a. “5x5”) that is printed on the Lenovo OS COA label is designed to only work with OS installations that were performed using the provided Lenovo installation media.

    However, Microsoft has published an unsupported method for license conversion which is provided here for additional reference:

  • Q:The activation code on my COA label is damaged.

    A: Should the 25-character activation code on the COA label become illegible please contact Lenovo Data Center support at https://datacentersupport.lenovo.com/us/en/supportphonelist and reference the “Damaged COA Replacement Process”.

    Note: This process requires a digital picture of the damaged COA to start the replacement process that Lenovo will engage in with Microsoft. Lenovo cannot “replace” or “reissue” COA labels that have been lost.

  • Q:I lost my OS installation media or my media is defective.

    A: Lenovo offers replacement of the Lenovo branded OS installation media should it be lost or becomes defective. Please contact Lenovo Data Center Support at: https://datacentersupport.lenovo.com/us/en/supportphonelist

  • Q:Can I reassign a Lenovo OEM Licenses in the case of new hardware or a disaster recovery scenario?

    A: Lenovo does offer a Datacenter license that includes reassignment rights, which can be reassigned to a new server every 90 days; in the same manner as volume licensing. Lenovo also offers Datacenter and Standard OEM licenses which are more cost effective, and do not have reassignment rights. Should the customer purchase one of these licenses and require reassignment rights they would need to purchase Software Assurance from a Microsoft volume license reseller.

    Note: Software Assurance must be purchased within 90 days of the OEM product and can only be applied to the most recent form of the OS.

    Eligibility

    Cornell University has renewed our Campus Agreement with Microsoft to provide the Desktop Bundle for all computers owned by Cornell University.

    Full overview of the Microsoft Campus Agreement

    The Campus Agreement currently allows Cornell University staff, faculty, and affiliates* to download selected Microsoft Windows desktop operating systems and install them on computers owned by Cornell University and its affiliated institutions at no cost. Computers must have been initially purchased with a licensed version of Microsoft Windows operating system to qualify. Students, retirees, and alumni are not covered by the Campus Agreement, and are not authorized to download software covered by the Agreement. 

    *Affiliated institutions covered under the Campus Agreement are: Boyce Thompson Institute, Cornell Cooperative Extension, New York State Agricultural Experiment Station in Geneva, the ROTC Program at Cornell University, and the USDA facility at the Robert W. Holley Center.

    Please note that the Weill Cornell Medical College has its own arrangement in place with Microsoft, and is not covered by the Campus Agreement. Weill Cornell staff and faculty should check with their local IT providers for information about Microsoft licensing.

    News and Announcements

    Windows 7 No Longer Supported (January 14, 2020)
    Microsoft has ended extended support for Windows 7 and no longer provides any security patches. Consequently, it is now against Cornell's IT Security Policy to put any computer running Windows 7 onto the Cornell network. Please upgrade any computer running Windows 7 to Windows 10 immediately.

    Windows XP No Longer Supported (April 8, 2014)
    Microsoft has ended extended support for Windows XP and no longer provides any security patches. Consequently, it is now against Cornell's IT Security Policy to put any computer running Windows XP onto the Cornell network. Please upgrade any computer running Windows XP to a supported version of Windows immediately. 

    Download Windows OS

    The installers below are exclusively for computers owned by Cornell University and Cornell-affiliated institutions* that have opted into the Campus Agreement. All Cornell regular staff and faculty are authorized to download these installers.

    *Affiliated institutions covered under the Campus Agreement are: Boyce Thompson Institute, Cornell Cooperative Extension, New York State Agricultural Experiment Station in Geneva, the ROTC Program at Cornell University, and the USDA facility at the Robert W. Holley Center.

    Installing any of these versions of Windows onto a privately- or personally-owned computer is a violation of license.

    Windows 10

    For installation onto Cornell-owned computers only.

    Please check with your local IT support team before you make changes to the OS of any Cornell-owned computer.

    For existing computers running Windows 7, Windows 8, or Windows 8.1, you can use the following Windows 10 installers to perform an in-place upgrade. An in-place upgrade preserves all data, settings, applications, and drivers from the existing Windows version. Please be sure to back up your system before upgrading. If you had ever installed Symantec Endpoint Protection (SEP), please be sure to fully uninstall it before attempting to upgrade. If you have difficulty uninstalling SEP, please contact the IT Service Desk.

    Windows 8 / 8.1 Installers

    While Windows 8 and 8.1 are still supported by Microsoft and are covered by our license, we strongly recommend upgrading to Windows 10.

    Windows 7

    Microsoft ended extended support for Windows 7 on January 14, 2020. It is now generally against University policy to put Windows 7 devices onto Cornell's network. All Windows 7 users are urged to upgrade to Windows 10 immediately.

    If you have a specific University business need to keep one or more devices on Windows 7, please contact the CU Software Licensing Office.

    Advanced Utilities

    Microsoft Desktop Optimization Pack (MDOP) was an add-on package that provided advanced functionality to Windows. Since the 2015 release, MDOP functionality has been rolled into Windows 10 Enterprise Edition.

    Other Editions of Windows

    Windows 10 Education Edition is covered under our license. Please contact us if you need the installers.

    Windows 10 Enterprise Long-Term Servicing Branch (LTSB) edition is available to Cornell Technical Service Providers. Please contact us if you need the installers.

    Professional Edition is covered under our site license, but is not currently recommended for use on Cornell-owned computers. Enterprise Edition provides a higher level of integration for managed desktop, BitLocker drive encryption, and other IT administration tools. If you have a special need for a Professional Edition of Windows 10 or Windows 8/8.1, please contact us.

    Home Editions and Ultimate Editions are not covered by our site license.

    Earlier Versions of Windows

    Windows 7: Our license does continue to provide access to Windows 7 in limited circumstances. Please contact us to discuss your use-case to see whether it qualifies and what your options may be.

    Windows XP is not available. Microsoft has ended support of Windows XP, and it is no longer covered under the Campus Agreement. We can no longer distribute Windows XP or its Product Key under our campus site license. 

    Windows Vista is not available. Microsoft has ended support of Windows Vista, and it is no longer covered under the Campus Agreement. We can no longer distribute Windows Vista or its Product Key, nor can we continue to provide KMS activation for Vista under our campus site license.

    Ordering New Windows Computers

    To take advantage of our Windows license, new computers must be purchased with a factory-installed (OEM) installation of Windows. For departmental purchases of new computers, we recommend that you buy the least expensive Windows version offered (for example, Windows 10 Home). Upon receipt, you can then upgrade your computer to Windows 10 Enterprise at no cost to your department. 

    If you have purchased a computer that did not have an OEM installation of Windows, please contact us to discuss options.

    Automatic Activation via Key Management Service (KMS)

    Windows 7 and higher will automatically activate on any Cornell local network that has been configured to use our KMS Activation system. If your local network has been configured for KMS, you will not be prompted to enter a product key. Windows will also activate automatically from off-campus when you connect to the Cornell network via our Virtual Private Network (VPN) service. 

    All local area networks maintained by CIT are configured for KMS activation. If you are an IT provider and would like to configure your locally-administered domain to use KMS activation, please see our How-To guide Activating Microsoft Products with the KMS Server.

    If you have special circumstances which make KMS activation unfeasible or impractical, please contact us to request an MAK product key. Please tell us why KMS won't work for your situation. We have a limited number of MAK product keys that we can release on a case-by-case basis when their use is warranted.

    Virtual Machines

    Under Windows
    On a computer whose primary OS is Windows, the Campus Agreement allows installation of Windows on an unlimited number of virtual machines (VMs), as long as the computer originally came with a licensed version of Windows. 

    Under macOS
    The Campus Agreement allows installation of Windows on a Mac using Boot Camp, a virtualization solution such as Parallels Desktop, or both, at no cost to your department.

    On Servers
    The Campus Desktop Agreement covers installation of Windows on VMs running on remote servers, provided that the hardware running the VM is owned by Cornell University, or on a Cornell-dedicated third-party hosting service (for example, Amazon Web Services) procured by Cornell University.

    Home Use

    The Campus Agreement does not allow installation of Windows on a computer not owned by Cornell University or its affiliated institutions. Cornell staff, faculty, and affiliates are prohibited from installing these versions of Windows on any computer that is their own personal property or is owned by an outside private organization.

    Windows 10 Education Edition is available for home use to students and instructors at Cornell University. This license is provided by an external vendor: Kivuto OnTheHub.

    Windows Server OS

    Windows Server 2019 Activation

    The following information outlines initial planning considerations that you need to review for Key Management Services (KMS) activation involving Windows Server 2019. For information about KMS activation involving operating systems older than those listed here, see Step 1: Review and Select Activation Methods.

    KMS uses a client-server model to active clients. KMS clients connect to a KMS server, called the KMS host, for activation. The KMS host must reside on your local network.

    KMS hosts do not need to be dedicated servers, and KMS can be cohosted with other services. You can run a KMS host on any physical or virtual system that is running Windows 10, Windows Server 2019, Windows Server 2016, Windows Server 2012 R2, Windows 8.1, or Windows Server 2012.

    A KMS host running on Windows 10 or Windows 8.1 can only activate computers running client operating systems. The following table summarizes KMS host and client requirements for networks that include Windows Server 2016, Windows Server 2019 and Windows 10 clients.

    Note

    • Updates might be required on the KMS server to support activation of any of these newer clients. If you receive activation errors, check that you have the appropriate updates listed below this table.

    Note

    Depending on which operating system your KMS server is running and which operating systems you want to activate, you might need to install one or more of these updates:

    • Installations of KMS on Windows 7 or Windows Server 2008 R2 must be updated in order to support activation of clients running Windows 10. For more information, see Update that enables Windows 7 and Windows Server 2008 R2 KMS hosts to activate Windows 10. 
    • Installations of KMS on Windows Server 2012 must be updated in order to support activation of clients running Windows 10 and Windows Server 2016 or Windows Server 2019, or newer client or server operating systems. For more information, see July 2016 update rollup for Windows Server 2012.
    • Installations of KMS on Windows 8.1 or Windows Server 2012 R2 must be updated in order to support activation of clients running Windows 10 and Windows Server 2016 or Windows Server 2019, or newer client or server operating systems. For more information, see July 2016 update rollup for Windows 8.1 and Windows Server 2012 R2. 
    • Windows Server 2008 R2 cannot be updated to support activation of clients running Windows Server 2016, Windows Server 2019, or newer operating systems.
    • The KMS installed on Windows Server 2012 R2 must be updated in order to support activation of clients running Windows Server 2019. For more information, see November 27, 2018—KB4467695 (Preview of Monthly Rollup).

    A single KMS host can support an unlimited number of KMS clients. If you have more than 50 clients, we recommend that you have at least two KMS hosts in case one of your KMS hosts becomes unavailable. Most organizations can operate with as few as two KMS hosts for their entire infrastructure.

    Addressing KMS operational requirements

    KMS can activate physical and virtual computers, but to qualify for KMS activation, a network must have a minimum number of computers (called the activation threshold). KMS clients activate only after this threshold is met. To ensure that the activation threshold is met, a KMS host counts the number of computers that are requesting activation on the network.

    KMS hosts count the most recent connections. When a client or server contacts the KMS host, the host adds the machine ID to its count and then returns the current count value in its response. The client or server will activate if the count is high enough. Clients will activate if the count is 25 or higher. Servers and volume editions of Microsoft Office products will activate if the count is five or greater. The KMS only counts unique connections from the past 30 days, and only stores the 50 most recent contacts.

    KMS activations are valid for 180 days, a period known as the activation validity interval. KMS clients must renew their activation by connecting to the KMS host at least once every 180 days to stay activated. By default, KMS client computers attempt to renew their activation every seven days. After a client's activation is renewed, the activation validity interval begins again.

    Addressing KMS functional requirements

    KMS activation requires TCP/IP connectivity. KMS hosts and clients are configured by default to use Domain Name System (DNS). By default, KMS hosts use DNS dynamic update to automatically publish the information that KMS clients need to find and connect to them. You can accept these default settings, or if you have special network and security configuration requirements, you can manually configure KMS hosts and clients.

    After the first KMS host is activated, the KMS key that is used on the first host can be used to activate up to five more KMS hosts on your network. After a KMS host is activated, administrators can reactivate the same host up to nine times with the same key.

    If your organization needs more than six KMS hosts, you should request additional activations for your organization's KMS key—for example, if you have ten physical locations under one volume licensing agreement and you want each location to have a local KMS host.

    Computers that are running volume licensing editions of Windows 10, Windows Server 2019, Windows Server 2016, Windows 8.1, Windows Server 2012 R2, Windows Server 2012, Windows 7, Windows Server 2008 R2 are, by default, KMS clients with no additional configuration needed.

    If you are converting a computer from a KMS host, MAK, or retail edition of Windows to a KMS client, install the applicable KMS Client Setup Key. For more information, see KMS Client Setup Keys.
