What’s new in SPSS v27?

In June of this year, IBM released the latest version of SPSS Statistics. Version 27 introduces several additional analysis procedures as well as new system enhancements. What are the system requirements for SPSS v27?

How do I upgrade to SPSS v 27?

In order to complete an upgrade to V27 you will need to have an up to date support and maintenance contract with Smart Vision.

If you do not have an up to date support contract then it is possible to buy reinstatement licences to get the upgrade organised.  If you would like to investigate this route please get in touch via [email protected] with details of the licence you hold and we can review this for you.

It’s a simple process to upgrade from one version of SPSS to the next. The first thing you need to do is ‘unlock’ your existing installation in order to enable the upgrade, then download the version 27 files, install v27 and update your authorisation code. Detailed instructions on how to do this are given below.

If you hold Concurrent licences however, please contact our support team ([email protected]) to plan your upgrade.  There is also an upgrade to the central licence manager and the team can assist you with this as it is a more complex process.

Step one – ‘unlock’ your existing installation

  • Begin by starting the SPSS License Authorisation Wizard
  • Go to Start -> All Programs / Applications -> IBM SPSS Statistics -> SPSS License Authorization Wizard (LAW)
  • Allow the program to make changes to your machine by selecting ‘Yes’ when asked on screen
  • Follow the on screen instructions until presented with the following dialog box…

Step two – email Smart Vision to kick off the ‘unlock’ process

  • Email Smart Vision support ([email protected]) or call (0845 680 0408) and let us have the machine lock code and your authorisation code if you still have it from your existing installation
  • Once we have the machine lock code (and where possible the authorisation code of the current install) we will then work with IBM to ‘unlock’ the code for you
  • This process normally takes 24 hours to complete, at the end of which we will supply you with a new authorisation code for v27
  • Note, if you don’t have the authorisation code from your current installation then please allow an extra day for us to get this released

Step three – install v27 on your machine

  • Download the v27 files here – to access the page you will need the password that we emailed to you in the upgrade notification email (contact us if you have not received this email and would like to upgrade)
  • Install v27 on your machine as you normally would
  • v27 will install over the top of your previous version – you do not need to uninstall your previous version.
  • Use the updated authorisation code we’ve given you to activate v27
  • If there is an issue with authorisation due to internal internet security, then you will need to provide us with the new lock code from version 27 so that we can generate a long licence code to use instead

How do I download my SPSS software once I’ve purchased it?

After you’ve purchased SPSS software from us you’ll be able to download it from our website. After your purchase you will receive the following email containing your username and a link to set up your password.

Clicking the link will open your web browser to the following page allowing you to set a personal password. Choose to Reset Password then click Log in.

Once you have logged in you will see the dashboard below.

From here you can manage your account and download the software you require. Simply click the File Manager option on the left-hand side.

You can download whichever version of the software you wish (to go with the authorisation code you have been supplied with).

How do I know which SPSS modules I have installed?

Sometimes it can be useful to know which SPSS modules you have installed and are licensed for. There’s a simple syntax command that can give you this information quickly and easily. Our video guide shows you how, or check out the written instructions below.

Checking which modules are installed

First, open a new syntax window by selecting New / Syntax from the File menu, then type the command ‘show all’ (see the screenshot below).

This procedure will create a range of output, part of which is a table which lists all the installed modules, as shown in the example below.

How do I update my SPSS activation code?

When your licence comes to an end you will need to buy a licences, you do not need to reinstall the software you simply need to update your license activation code. We will supply you with a new code at the point at which you buy the new software licence. To update it, simply follow the instructions below.

What happens at the end of my free trial or when my licence comes to an end?

If you have been running a free trial

If you are going to be running a paid installation of SPSS Statistics or Modeler on the same machine that you used for the free trial then you do not need to download the software again. You simply need to update your license activation code. We will supply you with a new code at the point at which you buy the software. To update it, simply follow the instructions below.

If your paid licence period has come to an end

You do not need to download the software again. You simply need to update your license activation code. We will supply you with a new code at the point at which you renew your licence. To update it, simply follow the instructions below.

Step one

Locate the SPSS License Authorisation Wizard.This is in the Programme Menu in Windows.If you’re using a Mac then navigate to this via your Applications folder.

Step two

Click on the License Authorisation Wizard. You’ll then be asked for permission to run the license manager. Click yes and the current license status will then show.

Step three

Select ‘License my product now’

Step four

Enter License Codes.You can enter additional codes following the first code to activate multiple products.

How does the SPSS License Manager work?

If you opt for a concurrent user license then you can install SPSS on as many machines as you like, as long as it is only ever used by one person at a time. To control this you would install SPSS License Manager. The license manager is a separate application which will need to be installed on a central machine/server to host the license.

Once the license manager is installed and license is added, this machine will have a background service running (at all times as long as the machine is on) that will host the licenses. Each end user then needs to point their software to this machine (either the IP address or server/machine name).

From then on, every time the user opens SPSS Statistics they will automatically retrieve the license to run the server (providing no one else is using it at the time). The end user can also use the Commuter application to check out a license in case they want to use it outside the network (for instance a laptop user who wants to take continue working out of the office).

To ensure the license is always returned there is a time limit which will automatically return the license to the license manager.

How do I change the language in SPSS?

You can easily change language from English to another language of your choice directly within SPSS Statistics.  This can be done in the Edit menu by selecting ‘options’ and then ‘language’. You can change the language of three different aspects of SPSS – your output, the user interface and the character encoding for data and syntax, depending on your requirements.

How do I transfer my SPSS license to another machine?

In order for Smart Vision Europe Ltd to be able to assist you with the transfer of an SPSS license from one computer to another you will need to be able to demonstrate one of the following:

  1. Have an up to date support and maintenance contract with Smart Vision Europe Ltd
  2. To have had a previously supported license that was purchased via Smart Vision Ltd and for which Smart Vision Europe was the designated support provider

If your license was purchased direct from IBM or elsewhere you will need to contact your designated support provider as Smart Vision Europe will not have access to your license code and we will not have the required authorisation to unlock the activation code for you.

If you have installed SPSS on one machine and then need to move it to another machine then here’s the process for doing so.

  • Begin by starting the SPSS License Authorisation Wizard
  • Go to Start -> All Programs / Applications -> IBM SPSS Statistics -> SPSS License Authorization Wizard (LAW)
  • Allow the program to make changes to your machine by selecting ‘Yes’ when asked on screen
  • Follow the on screen instructions until presented with the following dialog box…
  • Call or email Smart Vision support and let us have the machine lock code
  • Once we have the activation code and the machine lock code of the current install we will then work with IBM to ‘unlock’ the code
  • This process normally takes 24 hours to complete
  • Once unlocked you will be able to use the activation code to install on a new PC

What’s the difference between the various license types available for SPSS?

IBM SPSS Advanced Analytical Products, including IBM SPSS Statistics and IBM SPSS Modeler, can be implemented and licensed in different ways.  How your organisation licenses and implements these tools will depend on its requirements.  This page explains the options.

Client licence types

The client (i.e. desktop) versions of both the Statistics and Modeler product lines are licensed in one of two ways. The difference between the two is to do with who can use the software.

1. Authorised user licences

An authorised user licence is tied to a specific named individual and is for their exclusive use. It can be installed on a single machine.This form of licence is also known as a standalone licence or a named user licence. You can buy multiple single user licences for deployment throughout your organisation.

2. Concurrent user licences

Concurrent user licences allow anyone in the organisation to use the product but stipulate the maximum number of people who can use it at any one time. For example, a two-user licence means two people can both be using the software but if a third person attempts to access, they will be refused until one of the first two people logs out. A licence manager application is installed centrally to control this access. This type of licence is also known as a network licence.

Which of these options you choose will be influenced by the characteristics of your team.

·         Depends on whether you have full time or part time users

·         Depends on the size of your team

·         Depends on if you have concurrently running projects or one off busy times

Client or client/server installation?

Local client installation

SPSS products are ‘fat client’ software products. This means that you can install a version locally on any individual user’s computer (often referred to as the client machine) and that user can then access data on that computer (for example as a flat file or a range of flat files) as well as data that resides in any other location to which the user can connect their computer (for example a network drive or using database connectivity protocols such as ODBC).

For many applications the local (client) install option will cater for all your analytical requirements. However there are also situations where an organisation may require different software set up.  This is often where an organisation may consider using client/server architecture.

Client/server installation

In this configuration the local client install of IBM SPSS (Statistics, Modeler or both) will connect to a copy of the equivalent software that is designed to run on a server.  The server is just another computer on your organisation’s network (likely to be of a higher specification with more processing and storage capacity than a typical client machine) to which multiple client machines can potentially connect.

Which option is right for me?

Whether you go for a local client installation or a client/server installation depends on the way in which you intend to use SPSS and what type of analysis you’ll be performing. Whether you need it really depends on the data volumes you wish to analyse. It is not likely that you will need it if you are analysing small samples of data, however a server licence will improve your productivity if you are analysing  large data files or running analysis directly against a data warehouse or data mart.  Bear in mind that it is often the width of a file (how many variables) you have rather than the length (how many records) which influences processing times as well as the types of procedure you are likely to run. In general you will probably find the client/server option more suited to your needs in the following kinds of situations:

  • If you need to analyse large volumes of your organisation’s data (large numbers of variable and many rows) or are performing particularly complex analysis requiring a high degree of processing power to be able to run.
  • If you’re running data management and manipulation tasks using structured query language (SQL) – Modeler Server can request that SQL is run within the database, offering another approach to making the whole process more scalable.
  • If you need to make use of the processing capacity of the ‘database tier’ of your organisation’s IT infrastructure. Often a company’s databases or data warehouse will run on large and powerful dedicated servers.  Increasingly database software includes modelling algorithms. Modeler Server can leverage this database capability through a technique called ‘in database mining’.  In this context the model building can be run inside the database where processing can be completed even more quickly.
  • If you need to run scheduled batch and automated processes, such as having a whole analytical process run overnight when lots of processing capacity is available.

What is the cost of a client/server installation?

The cost  of a client/server installation of SPSS Statistics or Modeler is influenced by two elements:

  1. The cost of the client licenses – this is a number of users who will be using the client software.
  2.  The cost of the server license – this cost is calculated on the processing capacity of the server (or virtual server) that you intend SPSS to run on. The basic principle is that the more powerful the server, the more you would need to pay for the server license.

Licence length

In addition to considering whether to go for the client or client/server option, you also need to think about what kind of licence you’ll need.

Perpetual licence

Under the terms of a perpetual licence you pay a single one-off fee. This covers the cost of the software and your first year’s maintenance. At the end of the year you can opt to renew your maintenance contract if you wish, or you can let it lapse. You then have access to the software in perpetuity, but you will not have access to support, maintenance or upgrades and patches.

Fixed 6/12 Month Term

It is also possible to purchase a license entitlement over a fixed 6* or 12 month term.  This would provide your organisation with 6 or 12 months’ access to the licenses you have purchased.  After the license period has elapsed the software will no longer be accessible, unless the license term has been renewed. No data or other related assets would be lost or destroyed in the case of non-renewal of a fixed term license; but you wouldn’t be able to access the software anymore.

SaaS – Software as a Service

IBM SPSS Modeler Gold is available via hosted delivery.  This means that you can access it via the internet through a web browser. This has the advantage of not requiring any local install. SaaS delivery is similar to a rental license type.  The minimum term for a SaaS license is three consecutive months.

How can I activate my SPSS license on a machine without internet access?

From time to time we come across IBM SPSS Statistics or Modeler customers who need to install the product on a computer without internet access, or who have a firewall that is preventing the License Activation Wizard from working. It is still possible to install your software in this situation – simply follow the instructions below.

First, the license key administrator should go to the page where the authorization code is generated  (see the example below) and click on the authorization code.

This will take you to a page that asks for the lock code, as per the screenshot below.

The lock code is a unique identification number linked to a particular machine. You can get your lock code by opening the licence activation wizard (installed on your machine at the same time as you installed the software). Click ‘next’ and you should see the lock code, as per the screen shot below.

Note that if you are running a concurrent licence then you will need to run the file ‘echoid’ on the command line from the concurrent licence manager installation in order to get the lock code.

One the administrator has the lock code for your machine they should enter this into the license key centre screen and click activate. This then generates the full licence code. Click on the licence code to generate the full text of the code, which the administrator then needs to give to you. You should then enter this code in to the licence authorization wizard screen that asks you to enter the licence code. The software should then be activated. 

How can I combine variables in SPSS Statistics?

SPSS users often want to know how they can combine variables together. In this video Jarlath Quinn demonstrates how to use the compute procedure to calculate the mean of a number of variables to create one combined variable, and also how to use the count values procedure to count how many times a particular value occurs across a series of variables in order to create an overall count.

How can I reverse a scale in SPSS Statistics?

In this video Jarlath Quinn demonstrates how to reverse the values of a rating scale (such as an agreement scale or a satisfaction scale) in SPSS Statistics, so that the highest value becomes the lowest value and vice versa. Jarlath shows two methods of doing this – one using the compute procedure and the other using the recode procedure.

How can I calculate with dates in SPSS Statistics?

In this video Jarlath Quinn demonstrates how to work with date and time variables in SPSS using the SPSS date and time wizard. This enables you to:-

  • Calculate time units between two dates
  • Add / subtract time units to or from dates
  • Extract part of a date or a time, such as days of the week or months of the year

How can I check my data for normality in SPSS Statistics?

When you’re deciding which tests to run on your data it’s important to understand whether your data is normally distributed or not, as a lot of standard parametrical tests assume a normal distribution whereas other non-parametric tests are designed to be run on data which is not normally distributed. A normal distribution has a number of characteristics:-

  • It is symmetrical
  • It is bell-shaped
  • Its mean, median and mode all appear at the same place
  • Normal distributions can be divided up into the same proportions by the standard deviations, so 95% of the area under the curve lies within roughly plus or minus two standard deviations of the mean

How can I recode my data in SPSS Statistics?

Recoding your data means changing the values of a variable so that they represent something else. Within SPSS Statistics there is more than one type of recode that can be performed. In this video Jarlath Quinn demonstrates how to:-

  • Recode into the same variables, overwriting an existing variable
  • Recode into different variables, creating a new variable in addition to your existing variables
  • Automatically recode, a particular procedure designed to change string codes into numeric codes
  • Visual binning, visualising a distribution in the form of a histogram and slicing it into ranged categories

How can I create grouped or banded variables in SPSS Statistics?

SPSS users often want to be able to create grouped or banded data from continuous fields such as, for example, creating age groups or income bands from continuous fields. How can I merge files in SPSS Statistics?

How do I choose the correct statistical test?

When you’re conducting any kind of statistical analysis, it’s vital that you select the correct tests to perform, given the characteristics of your data and the analytics outcomes that you’re hoping for. If you don’t choose the right tests then the results you generate can be meaningless and this can lead to business decisions being made based on faulty analysis.

What’s the difference between the various types of statistical models?

The real world, whether it be the physical world, for example machines, or the natural world, for example human and animal behaviour, is very complex with many factors, some unknown, determining their behaviour and responses to interventions. Even if every contributory factor to a phenomenon is known, it is unrealistic to expect that the unique contribution of each factor to the phenomenon can be isolated and quantified. Thus, mathematical models are simplified representations of reality, but to be useful they must give realistic results and reveal meaningful insights.

In his 1976 paper ‘Science and Statistics’ in the Journal of the American Statistical Association George Box wrote ‘Since all models are wrong, the scientist cannot obtain a ‘correct’ one by excessive elaboration. On the contrary, following William of Occam he should seek an economical description of natural phenomena. Just as the ability to devise simple but evocative models is the signature of the great scientist, so over-elaboration and over-parameterization is often the mark of mediocrity.’ In some ways, this is an extension of a famous saying by Einstein, ‘Everything should be made as simple as possible, but not simpler.’

The terms data mining, statistical modelling and predictive analytics are often used interchangeably whereas in fact they have different meanings, particularly data mining and statistical modelling. The aim of this blog post is to clarify these differences and to present a glossary of the following terms:

  • Statistics and statistic
  • Mathematical models
  • Deterministic models
  • Statistical models
  • Data mining

Statistics and statistic

The word statistics derives from stato, the Italian word for state. The original aim of statistics was the collection of information for and about the state.

The birth of statistics as we know it today was in the mid-17th century when John Graunt, a shopkeeper from London, began reviewing a weekly church publication issued by the local parish clerk that listed the number of births, christenings and deaths in each parish. The data were called Bills of Mortality and were published in a form that we now call descriptive statistics in Natural and Political Observations Made upon the Bills of Mortality. Graunt was later elected to the Royal Society.

Statistics can be used in the singular and the plural.

  • The singular form is used when referring to the academic subject. For example, statistics is offered as a part of many university mathematics degrees. One definition of the subject statistics is ‘the science of collecting, organising and interpreting data’. The data analysed are usually a sample obtained from surveys, experiments or as a periodic snapshot, and the aim is to infer information about the population from which the sample was drawn. When the entire population rather than a sample from the population is analysed, the sample is called a census.
  • The plural form refers to at least two quantities. For example, the mean and standard deviation are two summary statistics for continuous data.

The latter form can be used in the singular, statistic. For example, the mean is the most frequently used statistic for the central tendency of continuous data.

Mathematical models

mathematical model is a description of a system using mathematical concepts, for example algebra, graphs, equations and functions, and language, for example arithmetic signs. Mathematical modelling is the process of developing mathematical models.

Deterministic models and statistical models

Mathematical models can be classified as either deterministic models or statistical models.

  • deterministic model is a mathematical model in which the output is determined only by the specified values of the input data and the initial conditions. This means that a given set of input data will always generate the same output.
  • statistical model is a mathematical model in which some or all of the input data have some randomness, for example as expressed by a probability distribution, so that for a given set of input data the output is not reproducible but is described by a probability distribution. The output ensemble is obtained by running the model a large number of times with a new input value sampled from the probability distribution each time the model is run. Statistical models can be run by using Monte Carlo simulation.

So, another definition of a statistical model is a mathematical description of a system that accounts for uncertainty in the system.

Statistical modelling is the process of forming a hypothesis for a statistical model on a set of data, developing a model and then testing it on the data to see if the hypothesis is true.

Data mining

Data mining is the process of analysing data to find new patterns and relationships in the data. In some ways, it is an ‘exploratory walk through the data’ without a particular objective in mind but with an open mind as to the patterns and trends in the data that will be revealed.

One of the main differences between data mining and statistical modelling is that data mining does not require a hypothesis but statistical modelling does require a hypothesis for the model. Thus, in statistical modelling a model is specified in advance but in data mining no relationships are specified.

Some misconceptions about data mining

Data mining models can be quite complex, and so users must be familiar with the models and equally important know their limitations to get maximum benefit from them. The black box nature of some data mining software makes data mining easy to be misused or used incorrectly, and this can lead to bad and very costly business decisions being taken. There are a few misconceptions about data mining that should be clarified.

Misconception 1: Data mining requires little or no human intervention.
Response 1: Data mining is a process, not an event, and data mining projects should be carried out using a structured and robust methodology, such as CRISP-DM.

With respect to the data preparation phase of CRISP-DM, data mining requires human intervention if only for the following simple and obvious reasons:

  • Each set of data is unique and so has its own characteristics that determine how and to what extent they need to be prepared.
  • Data preparation covers a very wide range of methods, and the particular methods used and the way they are applied depend on many things including the data (each field), the modelling methods to be used and the aims of the project.

Data mining and analytics software should not be used blindly, i.e. without understanding the modelling methods. If they are used by people who are not familiar with the methods, they will apply the wrong method to the wrong data and so will result in the wrong answer to the wrong question. The implications for business of using results generated using such an approach are self-evident.

Misconception 2: Data mining software packages are intuitive and easy to use.

Response 2:Data mining is concerned with analysis and modelling, not with IT. Data mining software is not ‘plug and play’ software and requires people with knowledge and experience of the models to use it so that the maximum commercial benefit is gained from it.

Misconception 3: Data mining can identify the causes of the problem here.
Response 3: Data mining is much more likely to identify the causes of the problem if it is used with CRISP-DM or a similar methodology. Therefore, to identify the causes of the problem, a thorough understanding of the background and context of the problem, and the data is essential.

What is a chi-squared test and when would you use it?

Take a look at the table below. It describes a relatively common situation in business analytics. Two offers have been made to a sample of 40,000 prospective readers of a magazine. As an experiment, half of the prospects have been offered a 25% discount for the first year and the other half have been offered an extended subscription of 15 months (rather than the normal 12 months).

The table seems to indicate a slight increase in the response rate (a mere 0.4%) for those offered the extended subscription. The business analysts want to know how probable it is that this is simply a random effect or whether the extended subscription is indeed more likely to elicit a response. If by this stage you are thinking that a tiny difference of 0.4% really isn’t worth bothering about, you might want to consult this article.

In modern parlance, this type of problem is commonly referred to as A/B testing but in reality the methods used to address it are over 100 years old. One such approach is apply a test of statistical significance such as the Pearson Chi Squared test. Generally speaking, tests like chi-squared are used to examine differences with between fields with different categories.

Without getting too deep into the technicalities of how it is calculated, the Chi squared value is derived by comparing the frequency values (count) that we observe in a table and the expected frequencies that we would expect to see if there was no bias towards one group or another. If we flip a coin a 100 times and the outcome is 54 ‘heads’ and 46 ‘tails’ we may not instinctively be able to calculate the probability that the coin is biased but we know that if it wasn’t biased, on average we should see a 50/50 outcome: this represents our expected frequency.

Let’s look at the table again, but this time we can compare the observed and the expected frequencies (which are shown in red).

We can see that the 25% discount offer elicited 39 fewer responses than would be expected if both offers had the same effect (whereas the exact opposite is true of the extended subscription offer). The Chi-Squared calculation sums these differences between the observed and expected counts and then (with a few adjustments depending on the method used) calculates the probability that the differences we have observed in the table are the result of random chance rather than a real effect that is likely to exist in the population of all potential magazine subscribers. In other words, it indicates whether the extended subscription offer is likely to be more tempting to prospects than the 25% discount offer. The table below shows the results of the Chi-Squared test.

The value that we need to focus on is in the row marked ‘Sig.’. This is an estimate of probability.  In this instance, a probability value of 0.031 indicates that the differences between the groups are sufficiently large that we would only expect to observe this 3.1% of the time randomly. In short, the difference between the response rates for the two offers is not very likely to be the result of mere chance.

So how small does the probability have to be before you come to this conclusion? Well, that depends on the context of the analysis, but generally a value less than 0.05 (or 5%) is regarded as small enough to be viewed as ‘statistically significant’.  In this case the business analysts could conclude that there is good evidence to suggest that the extended subscription offer is likely to yield slightly more customers than offering a 25% discount.

What is correlation and when is it useful?

Correlation is a term that we employ in everyday speech to denote things that appear to have a mutual relationship. In the world of analytics correlations are specific values that are calculated in order quantify the relationships between variables. This kind of analysis is powerful because it allows us measure the association between factors such as advertising spend and website hits, product sales and competitor pricing, Net Promoter Score and customer discount, ambient temperature and component part failure.

Not only can we measure this relationship but we can also use one variable to predict the other. For example, if we know how much we’re planning to increase our spend on advertising then we can use correlation to accurately predict what the increase in visitors to the website is likely to be. This is because, within certain limits, we can measure the correlation using a specific number.

The relationship between two variables can be visualised using scatterplots, as in the examples below.

  • Scatterplot A shows the relationship between vehicle weight and horsepower
  • Scatterplot B shows the relationship between vehicle miles per gallon and the time it takes to accelerate from 0-60mph
  • Scatterplot C shows the relationship between vehicle horsepower and time taken to accelerate from 0-60mph

Graph A shows a strong positive relationship between the horsepower of various cars and the respective weight of the vehicles.  Graph B also shows a positive relationship (although not as strong as graph A) between the time taken to accelerate to 60mph and the car’s fuel consumption in miles per gallon. Finally graph C shows a strong negative relationship between horsepower and time taken to accelerate to 60mph (in other words less powerful cars accelerate more slowly).

Quantifying a relationship using the correlation coefficient

Although scatterplots help us to visualize relationships like this, they don’t allow us to quantify the pattern.  This is where a correlation coefficient comes in handy. Using a Pearson’s correlation coefficient (sometimes denoted as Pearson’s r) we can measure the strength of the linear (i.e. straight line) relationship within each graph. Pearson’s correlation coefficient is a number that runs from -1 to +1 (for a more technical explanation click here).

Values approaching either of these two numerical limits indicate stronger linear relationships, whereas values closer to 0 indicate weaker relationships (or no relationship at all). A positive correlation value means that the variables concerned increase or decrease in parallel – as one increases or decreases so does the other – whereas a negative correlation value indicates that as one variable increases the other decreases, or vice versa. Let’s look at the graphs again but this time we will reveal their correlation values.

HCL Domino

HCL Notes (formerly IBM Notes and Lotus Notes;[1][2] see Branding below) and HCL Domino (formerly IBM Domino and Lotus Domino) are the client and server, respectively, of a collaborative client-server software platform formerly sold by IBM, now by HCL Technologies.[3]

HCL Notes provides business collaboration functions, such as email, calendars, to-do lists, contact management, discussion forums, file sharing, microblogging, instant messaging, blogs, and user directories. It can also be used with other HCL Domino applications and databases. HCL Notes 9 Social Edition removed integration with the office software package IBM Lotus Symphony, which had been integrated with the Lotus Notes client in versions 8.x.

Lotus Development Corporation originally developed "Lotus Notes" in 1989. IBM bought Lotus in 1995 and it became known as the Lotus Development division of IBM. As late as 2015, it formed part of the IBM Software and Systems Group under the name "IBM Collaboration Solutions".

HCL acquired the products in July 2019.[4]

HCL Notes is a desktop workflow application, commonly used in corporate environments for email and to create discussion groups, websites, document libraries, custom applications and business workflows.

On December 6, 2018, IBM announced that it was selling a number of software products to HCL Technologies for $1.8bn,[5] including IBM Notes, Domino, Commerce, Portal, Connections, BigFix, Unica and AppScan. Their location within HCL Technologies' umbrella is named HCL Software.[6] This acquisition was completed in July 2019.[4]

Design[edit]

HCL Notes is a client-servercross-platform application runtime environment that provides an interface to the HCL Notes and Domino software.[clarification needed] It can be used as an email client without an HCL Domino server, for example, as an IMAP client.

HCL Notes and Domino provide email, calendars, instant messaging (with additional HCL software voice- and video-conferencing and web-collaboration), discussions/forums, blogs, and an inbuilt personnel/user directory. In addition to these standard applications, an organization may use the Domino Designer development environment and other tools to develop additional integrated applications such as request approval / workflow and document management.

The HCL Notes and Domino product consists of several components:

  • HCL Notes client application (since version 8, this is based on Eclipse)
  • HCL Notes client, either:
    • a rich client
    • a web client, HCL iNotes
    • a mobile email client, HCL Notes Traveler
  • HCL Verse client, either:
    • a web email client, Verse on Premises (VOP)
    • a mobile email client, Verse Mobile (for iOS and Android)
  • HCL Domino server
  • HCL Domino Administration Client
  • HCL Domino Designer (Eclipse-based integrated development environment) for creating client-server applications that run within the Notes framework

HCL Notes and Domino compete with products from other companies such as Microsoft, Google, Zimbra and others. Because of the application development abilities, HCL Notes and Domino is often compared to products like Microsoft Sharepoint.[7][8] The database in IBM Notes and Domino can be replicated between servers and between server and client, thereby allowing clients offline capabilities.

HCL Domino, a business application as well as a messaging server, is compatible with both HCL Notes and web-browsers. HCL Notes (and since HCL Domino 9, the Notes Browser Plugin) may be used to access any HCL Domino application, such as discussion forums, document libraries, and numerous other applications. IBM Notes resembles a web-browser in that it may run any compatible application that the user has permission for.

HCL Notes provides applications that can be used to:

  • access, store and present information through a user interface
  • enforce security
  • replicate, that is, allow many different servers to contain the same information and have many users work with that data

The standard storage mechanism in HCL Domino is a NoSQLdocument-database format, the "Notes Storage Facility" (.nsf). The .nsf file will normally contain both an application design and its associated data. IBM Notes can also access relational databases, either through an additional server called HCL Enterprise Integrator for Domino, through ODBC calls or through the use of XPages.

As HCL Notes and Domino is an application runtime environment, email and calendars operate as applications within HCL Notes, which HCL provides with the product. A Domino application-developer can change or completely replace that application.[9] HCL has released the base templates as open source as well.[10]

The client supports a formula language as well as JavaScript. Software developers can build applications to run either within the HCL Notes application runtime environment or through a web server for use in a web browser, although the interface would need to be developed separately unless XPages is used.

HCL Notes can be used for email, as a calendar, PIM, instant messaging, Web browsing, and other applications. Notes can access both local- and server-based applications and data.

HCL Notes can function as an IMAP and POP email client with non-Domino mail servers. The system can retrieve recipient addresses from any LDAP server, including Active Directory, and includes a web browser, although it can be configured by a Domino Developer to launch a different web browser instead.

Features include group calendars and schedules, SMTP/MIME-based email, NNTP-based news support, and automatic HTML conversion of all documents by the Domino HTTP task.

HCL Notes can be used with HCL Sametime instant-messaging to allow to see other users online and chat with one or more of them at the same time. Beginning with Release 6.5, this function has been freely available. Presence awareness is available in email and other IBM Domino applications for users in organizations that use both HCL Notes and IBM Sametime.

Since version 7, Notes has provided a Web services interface. Domino can be a Web server for HTML files; authentication of access to Domino databases or HTML files uses the HCL Domino user directory and external systems such as Microsoft Active Directory.

A design client, HCL Domino Designer, can allow the development of database applications consisting of forms (which allow users to create documents) and views (which display selected document fields in columns).

In addition to its role as a groupware system (email, calendaring, shared documents and discussions), HCL Notes and Domino can also construct "workflow"-type applications, particularly those which require approval processes and routing of data.

Since Release 5, server clustering has had the ability to provide geographic redundancy for servers.

Notes System Diagnostic (NSD) gathers information about the running of a Notes workstation or of a Domino server.[11]

On October 10, 2018, IBM released IBM Domino v10.0 and IBM Notes 10.0 as the latest release. In December, 2019, HCL released HCL Domino v11 and HCL Notes v11.

Overview[edit]

Client/server[edit]

HCL Notes and Domino is a NoSQL client/server database environment. The server software is called HCL Domino and the client software is HCL Notes. HCL Domino software can run on Windows, Unix, Linux, AIX, and HCL mid-range systems and can scale to tens of thousands of users per server. There are different supported versions of the HCL Domino server that are supported on the various levels of server operating systems. Usually the latest server operating system is only officially supported by a version of HCL Domino that is released at about the same time as that OS.

HCL Domino has security capabilities on a variety of levels. The authorizations can be granular, down to the field level in specific records all the way up to 10 different parameters that can be set up at a database level, with intermediate options in between. Users can also assign access for other users to their personal calendar and email on a more generic reader, editor, edit with delete and manage my calendar levels. All of the security in HCL Notes and Domino is independent of the server OS or Active Directory. Optionally, the HCL Notes client can be configured to have the user use their Active Directory identity.

Data replication[edit]

The first release of IBM Notes included a generalized replication facility. The generalized nature of this feature set it apart from predecessors like Usenet and continued to differentiate IBM Notes.

IBM Domino servers and Notes clients identify NSF files by their Replica IDs, and keep replicate files synchronized by bi-directionally exchanging data, metadata, and application logic and design. There are options available to define what meta-data replicate, or specifically exclude certain meta data from replicating. Replication between two servers, or between a client and a server, can occur over a network or a point-to-point modem connection. Replication between servers may occur at intervals according to a defined schedule, in near-real-time when triggered by data changes in server clusters, or when triggered by an administrator or program.

Creation of a local replica of an NSF file on the hard disk of an IBM Notes client enables the user to fully use IBM Notes and Domino databases while working off-line. The client synchronizes any changes when client and server next connect. Local replicas are also sometimes maintained for use while connected to the network in order to reduce network latency. Replication between an IBM Notes client and Domino server can run automatically according to a schedule, or manually in response to a user or programmatic request. Since Notes 6, local replicas maintain all security features programmed into the applications. Earlier releases of Notes did not always do so. Early releases also did not offer a way to encrypt NSF files, raising concerns that local replicas might expose too much confidential data on laptops or insecure home office computers, but more recent releases offer encryption, and as of[when?] the default setting for newly created local replicas.

Security[edit]

IBM Notes was the first widely adopted software product to use public key cryptography for client–server and server–server authentication and for encryption of data. Until US laws regulating encryption were changed in 2000, IBM and Lotus were prohibited from exporting versions of Notes that supported symmetric encryption keys that were longer than 40 bits. In 1997, Lotus negotiated an agreement with the NSA that allowed export of a version that supported stronger keys with 64 bits, but 24 of the bits were encrypted with a special key and included in the message to provide a "workload reduction factor" for the NSA. This strengthened the protection for users of Notes outside the US against private-sector industrial espionage, but not against spying by the US government.[12][13] This implementation was widely announced, but with some justification many people did consider it to be a backdoor. Some governments objected to being put at a disadvantage to the NSA, and as a result Lotus continued to support the 40-bit version for export to those countries.

Under current US export laws, IBM Notes supports only one version of the Notes PKI with 128-bit symmetric keys, 2048-bit public keys, and no workload reduction factor. The Domino server includes security tools support S/MIME, SSL 3.0 with industry standard key sizes for HTTP and other Internet protocols, X.509 client certificates, and an integrated certificate authority.

IBM Notes and Domino also uses a code-signature framework that controls the security context, runtime, and rights of custom code developed and introduced into the environment. Notes 5 introduced an execution control list (ECL) at the client level. The ECL allows or denies the execution of custom code based on the signature attached to it, preventing code from untrusted (and possibly malignant) sources from running. Notes and Domino 6 allowed client ECLs to be managed centrally by server administrators through the implementation of policies. Since release 4.5, the code signatures listed in properly configured ECLs prevent code from being executed by external sources, to avoid virus propagation through Notes/Domino environments. Administrators can centrally control whether each mailbox user can add exceptions to, and thus override, the ECL.

Database security[edit]

Access control lists (ACLs) control a user of server's level of access to that database. Only a user with Manager access can create or modify the ACL. Default entries in the ACL can be set when the Manager creates the database.

Roles, rather than user id, can determine access level.

Programming[edit]

IBM Notes and Domino is a cross-platform, distributed document-oriented NoSQL database and messaging framework and rapid application development environment that includes pre-built applications like email, calendar, etc. This sets it apart from its major commercial competitors, such as Microsoft Exchange or Novell GroupWise, which are purpose-built applications for mail and calendaring that offer APIs for extensibility.

IBM Domino databases are built using the IBM Domino Designer client, available only for Microsoft Windows; standard user clients are available for Windows, Linux, and macOS.[14] A key feature of IBM Notes is that many replicas of the same database can exist at the same time on different servers and clients, across dissimilar platforms; the same storage architecture is used for both client and server replicas. Originally, replication in Notes happened at document (i.e., record) level. With release of Notes 4 in 1996, replication was changed so that it now occurs at field level.

A database is a Notes Storage Facility (.nsf) file, containing basic units of storage known as a "note". Every note has a UniqueID that is shared by all its replicas. Every replica also has a UniqueID that uniquely identifies it within any cluster of servers, a domain of servers, or even across domains belonging to many organizations that are all hosting replicas of the same database. Each note also stores its creation and modification dates, and one or more Items.

There are several classes of notes, including design notes and document notes. Design notes are created and modified with the Domino Designer client, and represent programmable elements, such as the GUI layout of forms for displaying and editing data, or formulas and scripts for manipulating data. Document notes represent user data, and are created and modified with the Lotus Notes client, via a web browser, via mail routing and delivery, or via programmed code.

Document notes can have parent-child relationships, but IBM Notes should not be considered a hierarchical database in the classic sense of information management systems. Notes databases are also not relational, although there is a SQL driver that can be used with Notes, and it does have some features that can be used to develop applications that mimic relational features. IBM Notes does not support atomic transactions, and its file locking is rudimentary. IBM Notes is a document-oriented database (document-based, schema-less, loosely structured) with support for rich content and powerful indexing facilities. This structure closely mimics paper-based work flows that IBM Notes is typically used to automate.

Items represent the content of a note. Every item has a name, a type, and may have some flags set. A note can have more than one item with the same name. Item types include Number, Number List, Text, Text List, Date-Time, Date-Time List, and Rich Text. Flags are used for managing attributes associated with the item, such as read or write security. Items in design notes represent the programmed elements of a database. For example, the layout of an entry form is stored in the rich text Body item within a form design note. This means that the design of the database can replicate to users' desktops just like the data itself, making it extremely easy to deploy updated applications.

Items in document notes represent user-entered or computed data. An item named "Form" in a document note can be used to bind a document to a form design note, which directs the IBM Notes client to merge the content of the document note items with the GUI information and code represented in the given form design note for display and editing purposes. However, other methods can be used to override this binding of a document to a form note. The resulting loose binding of documents to design information is one of the cornerstones of the power of IBM Notes. Traditional database developers used to working with rigidly enforced schemas, on the other hand, may consider the power of this feature to be a double-edged sword.

IBM Notes applications development uses several programming languages. Formula and LotusScript are the two original ones. LotusScript is similar to, and may even be considered a specialized implementation of, Visual Basic, but with the addition of many native classes that model the IBM Notes environment, whereas Formula is similar to Lotus 1-2-3 formula language but is unique to Notes.

Java was integrated into IBM Notes beginning with Release 4.5. With Release 5, Java support was greatly enhanced and expanded, and JavaScript was added. While LotusScript remains a primary tool in developing applications for the Lotus Notes client, Java and JavaScript are the primary tools for server-based processing, developing applications for browser access, and allowing browsers to emulate the functionality of the IBM Notes client. With XPages, the IBM Notes client can now natively process Java and JavaScript code, although applications development usually requires at least some code specific to only IBM Notes or only a browser.

As of version 6, Lotus established an XML programming interface in addition to the options already available. The Domino XML Language (DXL) provides XML representations of all data and design resources in the Notes model, allowing any XML processing tool to create and modify IBM Notes and Domino data.

Since Release 8.5, XPages were also integrated into IBM Notes.

External to the IBM Notes application, IBM provides toolkits in C, C++, and Java to connect to the IBM Domino database and perform a wide variety of tasks. The C toolkit is the most mature, and the C++ toolkit is an objectized version of the C toolkit, lacking many functions the C toolkit provides. The Java toolkit is the least mature of the three and can be used for basic application needs.

Database[edit]

IBM Notes includes a database management system but IBM Notes files are different from relational or object databases because they are document-centric. Document-oriented databases such as IBM Notes allow multiple values in items (fields), do not require a schema, come with built-in document-level access control, and store rich text data. IBM Domino 7 to 8.5.x supports the use of IBM DB2 database as an alternative store for IBM Notes databases. This NSFDB2 feature, however, is now in maintenance mode with no further development planned.[15] An IBM Notes database can be mapped to a relational database using tools like DECS, [LEI], JDBCSql for Domino or NotesSQL.[16]

It could be argued that IBM Notes and Domino is a multi-value database system like PICK, or that it is an object system like Zope, but it is in fact unique. Whereas the temptation for relational database programmers is to normalize databases, Notes databases must be denormalized. RDBMS developers often find it difficult to conceptualize the difference. It may be useful to think of an IBM Notes document (a 'note') as analogous to an XML document natively stored in a database (although with limitations on the data types and structures available).

Since Lotus Notes 8.5, IBM started to change the term Database to Application, because of the reason that these files are not really object databases as mentioned above.

The benefits of this data structure are:

  1. No need to define size of fields, or datatype;
  2. Attributes (Notes fields) that are null take up no space in a database;
  3. Built-in full text searching.

Configuration[edit]

The IBM Domino server or the IBM Notes client store their configuration in their own databases / application files (*.nsf). No relevant configuration settings are saved in the Windows Registry if the operating system is Windows. Some other configuration options (primary the start configuration) is stored in the notes.ini (there are currently over 2000 known options available[17]).

Use as an email client[edit]

IBM Notes is commonly deployed as an end-user email client in larger organizations, with IBM claiming a cumulative 145 million[citation needed] licenses sold to date.

When an organization employs an IBM Domino server, it usually also deploys the supplied IBM Notes client for accessing the IBM Notes application for email and calendaring but also to use document management and workflow applications. As IBM Notes is a runtime environment, and the email and calendaring functions in IBM Notes are simply an application provided by IBM, the administrators are free to develop alternate email and calendaring applications. It is also possible to alter, amend or extend the IBM supplied email and calendaring application.

The IBM Domino server also supports POP3 and IMAP mail clients, and through an extension product (IBM mail support for Microsoft Outlook) supports native access for Microsoft Outlook clients.[18]

IBM also provides IBM iNotes (in Notes 6.5 renamed to "Domino Web Access" but in version 8.0 reverted to iNotes), to allow the use of email and calendaring features through web browsers on Windows, Mac and Linux, such as Internet Explorer and Firefox. There are several spam filtering programs available (including IBM Lotus Protector), and a rules engine allowing user-defined mail processing to be performed by the server.

Comparison with other email clients[edit]

IBM Notes was designed as a collaborative application platform where email was just one of numerous applications that ran in the Notes client software. The Notes client was also designed to run on multiple platforms including Windows, OS/2, classic Mac OS, SCO Open Desktop UNIX, and Linux. These two factors have resulted in the user interface containing some differences from applications that only run on Windows. Furthermore, these differences have often remained in the product to retain backward compatibility with earlier releases, instead of conforming to updated Windows UI standards. The following are some of these differences.

  • Properties dialog boxes for formatting text, hyperlinks and other rich-text information can remain open after a user makes changes to selected text. This provides flexibility to select new text and apply other formatting without closing the dialog box, selecting new text and opening a new format dialog box. Almost all other Windows applications require the user to close the dialog box, select new text, then open a new dialog box for formatting/changes.
  • Properties dialog boxes also automatically recognize the type of text selected and display appropriate selections (for instance, a hyperlink properties box).
  • Users can format tables as tabbed interfaces as part of form design (for applications) or within mail messages (or in rich-text fields in applications). This provides users the ability to provide tab-style organization to documents, similar to popular tab navigation in most web portals, etc.
  • End-users can readily insert links to IBM Notes applications, IBM Notes views or other IBM Notes documents into IBM Notes documents.
  • Deleting a document (or email) will delete it from every folder in which it appears, since the folders simply contain links to the same back-end document. Some other email clients only delete the email from the current folder; if the email appears in other folders it is left alone, requiring the user to hunt through multiple folders in order to completely delete a message. In IBM Notes, clicking on "Remove from Folder" will remove the document only from that folder leaving all other instances intact.
  • The All Documents and Sent "views" differ from other collections of documents known as "folders" and exhibit different behaviors. Specifically, mail cannot be dragged out of them, and so removed from those views; the email can only be "copied" from them. This is because these are views, and their membership indexes are maintained according to characteristics of the documents contained in them, rather than based on user interaction as is the case for a folder. This technical difference can be baffling to users, in environments where no training is given. All Documents contain all of the documents in a mailbox, no matter which folder it is in. The only way to remove something from All Documents is to delete it outright.

Lotus Notes 7 and older versions had more differences, which were removed from subsequent releases:

  • Users select a "New Memo" to send an email, rather than "New Mail" or "New Message". (Notes 8 calls the command "New Message")
  • To select multiple documents in a Notes view, one drags one's mouse next to the documents to select, rather than using +single click. (Notes 8 uses keypress conventions.)
  • The searching function offers a "phrase search", rather than the more common "or search", and Notes requires users to spell out boolean conditions in search-strings. As a result, users must search for "delete AND folder" in order to find help text that contains the phrase "delete a folder". Searching for "delete folder" does not yield the desired result. (Notes 8 uses or-search conventions.)

Lotus Notes 8.0 (released in 2007) became the first version to employ a dedicated user-experience team,[19] resulting in changes in the IBM Notes client experience in the primary and new notes user interface. This new interface runs in the open source Eclipse Framework, which is a project started by IBM, opening up more application development opportunities through the use of Eclipse plug-ins. The new interface provides many new user interface features and the ability to include user-selected applications/applets in small panes in the interface. Lotus Notes 8.0 also included a new email interface / design to match the new Lotus Notes 8.0 eclipse based interface. Eclipse is a Java framework and allows IBM to port Notes to other platforms rapidly. An issue with Eclipse and therefore Notes 8.0 is the applications start-up and user-interaction speed. Lotus Notes 8.5 sped up the application and the increase in general specification of PCs means this is less of an issue.

IBM Notes 9 continued the evolution of the user interface to more closely align with modern application interfaces found in many commercial packaged or web-based software. Currently, the software still does not have an auto-correct option - or even ability - to reverse accidental use of caps lock.

Domino is now running on the Eclipse platform and offers many new development environments and tools such as XPages.[20]

For lower spec PCs, a new version of the old interface is still provided albeit as it is the old interface many of the new features are not available and the email user interface reverts to the Notes 7.x style.

This new user experience builds on Notes 6.5 (released in 2003), which upgraded the email client, previously regarded by many as the product's Achilles heel. Features added at that time included:

  • drag and drop of folders
  • replication of unread marks between servers
  • follow-up flags
  • reply and forward indicators on emails
  • ability to edit an attachment and save the changes back to an email id

Reception[edit]

Publications such as The Guardian in 2006 have criticized earlier versions of Lotus Notes for having an "unintuitive [user] interface" and cite widespread dissatisfaction with the usability of the client software. The Guardian indicated that Notes has not necessarily suffered as a result of this dissatisfaction due to the fact that "the people who choose [enterprise software] tend not to be the ones who use it."[21]

Earlier versions of Lotus Notes have also been criticized for violating an important usability best practice that suggests a consistent UI is often better than custom alternative. Software written for a particular operating system should follow that particular OS's user interface style guide. Not following those style guides can confuse users. A notable example is F5 keyboard shortcut, which is used to refresh window contents in Microsoft Windows. Pressing F5 in Lotus Notes before release 8.0 caused it to lock screen. Since this was a major point of criticism this was changed in release 8.0. Old versions did not support proportional scrollbars (which give the user an idea of how long the document is, relative to the portion being viewed).[22] Proportional scroll bars were only introduced in Notes 8.[23]

Older versions of Lotus Notes also suffered from similar user interaction choices, many of which were also corrected in subsequent releases. One example that was corrected in Release 8.5: In earlier versions the out-of-office agent needed to be manually enabled when leaving and disabled when coming back, even if start and end date have been set. As of Release 8.5 the out-of-office notification now automatically shuts off without a need for a manual disable.

Unlike some other e-mail client software programs, IBM Notes developers made a choice to not allow individual users to determine whether a return receipt is sent when they open an e-mail; rather, that option is configured at the server level. IBM developers believe "Allowing individual cancellation of return receipt violates the intent of a return receipt function within an organization". So, depending on system settings, users will have no choice in return receipts going back to spammers or other senders of unwanted e-mail. This has led tech sites to publish ways to get around this feature of Notes. For IBM Notes 9.0 and IBM iNotes 9.0, the IBM Domino server's .INI file can now contain an entry to control return receipt in a manner that's more aligned with community expectations (IBM Notes 9 Product Documentation).[24][25][26]

When IBM Notes crashes, some processes may continue running and prevent the application from being restarted until they are killed.[27]

Related IBM Lotus products[edit]

Over the 30-year history of IBM Notes, Lotus Development Corporation and later IBM have developed many other software products that are based on or integrated with IBM Notes. The most prominent of these is the IBM Lotus Domino server software, which was originally known as the Lotus Notes Server and gained a separate name with the release of version 4.5. The server platform also became the foundation for products such as IBM Lotus Quickr for Domino, for document management, and IBM Sametime for instant messaging, audio and video communication, and web conferencing, and with Release 8.5, IBM Connections.

In early releases of IBM Notes, there was considerable emphasis on client-side integration with the IBM Lotus SmartSuite environment. With Microsoft's increasing predominance in office productivity software, the desktop integration focus switched for a time to Microsoft Office. With the release of version 8.0 in 2007, based on the Eclipse framework, IBM again added integration with its own office-productivity suite, the OpenOffice.org-derived IBM Lotus Symphony. IBM Lotus Expeditor is a framework for developing Eclipse-based applications.

Other IBM products and technologies have also been built to integrate with IBM Notes. For mobile-device synchronization, this previously included the client-side IBM Lotus Easysync Pro product (no longer in development) and IBM Notes Traveler, a newer no-charge server-side add-on for mail, calendar and contact sync. A recent addition to IBM's portfolio are two IBM Lotus Protector products for mail security and encryption, which have been built to integrate with IBM Notes.

Related software from other vendors[edit]

With a long market history and large installed base, IBM Notes and Domino have spawned a large third-party software ecosystem. Such products can be divided into four broad, and somewhat overlapping classes:

  • IBM Notes and Domino applications are software programs written in the form of one or more IBM Notes databases, and often supplied as NTF templates. This type of software typically is focused on providing business benefit from IBM Notes' core collaboration, workflow and messaging capabilities. Examples include customer relationship management (CRM), human resources, and project tracking systems. Some applications of this sort may offer a browser interface in addition to Notes client access. The code within these programs typically uses the same languages available to an in-house IBM Domino developer: IBM Notes formula language, LotusScript, Java and JavaScript.
  • IBM Notes and Domino add-ons, tools and extensions are generally executable programs written in C, C++ or another compiled language that are designed specifically to integrate with IBM Notes and Domino. This class of software may include both client- and server-side executable components. In some cases, IBM Notes databases may be used for configuration and reporting. Since the advent of the Eclipse-based Notes 8 Standard client, client-side add-ons may also include Eclipse plug-ins and XML-based widgets. The typical role for this type of software is to support or extend core IBM Notes functionality. Examples include spam and anti-virus products, server administration and monitoring tools, messaging and storage management products, policy-based tools, data synchronization tools and developer tools.
  • IBM Notes and Domino-aware adds-ins and agents are also executable programs, but they are designed to extend the reach of a general networked software product to IBM Notes and IBM Domino data. This class includes server and client backup software, anti-spam and anti-virus products, and e-discovery and archiving systems. It also includes add-ins to integrate IBM Notes with third-party offerings such as Cisco WebEx conferencing service or the Salesforce.com CRM platform.

History[edit]

IBM Notes has a history spanning more than 30 years.[28] Its chief inspiration was PLATO Notes, created by David R. Woolley at the University of Illinois in 1973. In today's terminology, PLATO Notes supported user-created discussion groups, and it was part of the foundation for an online community which thrived for more than 20 years on the PLATO system.[29]Ray Ozzie worked with PLATO while attending the University of Illinois in the 1970s. When PC network technology began to emerge, Ozzie made a deal with Mitch Kapor, the founder of Lotus Development Corporation, that resulted in the formation of Iris Associates in 1984 to develop products that would combine the capabilities of PCs with the collaborative tools pioneered in PLATO. The agreement put control of product development under Ozzie and Iris, and sales and marketing under Lotus. In 1994, after the release and marketplace success of Notes R3, Lotus purchased Iris. In 1995 IBM purchased Lotus.

In 2008, IBM released XPages technology, based on JavaServer Faces. This allows IBM Domino applications to be better surfaced to browser clients, though the UX and business logic must be completely rewritten. Previously, IBM Domino applications could be accessed through browsers, but required extensive web specific modifications to get full functionality in browsers. XPages also give the application new capabilities that are not possible with the classic IBM Notes client. The IBM Domino 9 Social Edition included the IBM Notes Browser Plugin, which would surface Notes applications through a minified version of the rich desktop client contained in a browser tab.

Branding[edit]

Prior to release 4.5, the Lotus Notes branding encompassed both the client and server applications.[30] In 1996, Lotus released an HTTP server add-on for the Notes 4 server called "Domino". This add-on allowed Notes documents to be rendered as web pages in real time. Later that year, the Domino web server was integrated into release 4.5 of the core Notes server and the entire server program was re-branded, taking on the name "Domino". Only the client program officially retained the "Lotus Notes" name.

In November 2012, IBM announced it would be dropping the Lotus brand and moving forward with the IBM brand only to identify products, including Notes and Domino.[31] On October 9, 2018, IBM announced the availability of the latest version of the client and server software.

IBM Notes
9 21 March 2013 9.0 Notes/Domino Social Edition delivers on the "Project Vulcan" (OneUI) vision, including the updated GUI, embedded application experiences, a significant update to iNotes to bring near-parity to the rich client, an incremental set of IBM Notes features, and the IBM Notes Browser Plug-in. IBM was internally facing a few decisions about the new releases in 2012. Two versions, 8.5.4 and 9.0, were developing simultaneously in 2012, but IBM has rebranded the 8.5.4 release as a full version release 9.0 in a middle 2012. At the end of 2012 and in 2013, IBM decided to launch 8.5.4 Maintenance Release and 9.0 Social Edition as two separated products.

According to roadmaps, 9.0 Social Edition is a new major release in a new release stream and 8.5.4 provides status for a point release for the 8.5.x stream. [48][49]

21st century[edit]

Despite repeated predictions of the decline or impending demise of IBM Notes and Domino, such as Forbes magazine's 1998 "The decline and fall of Lotus",[70] the installed base of Lotus Notes has increased from an estimated 42 million seats in September 1998[citation needed] to approximately 140 million cumulative licenses sold through 2008.[71] Once IBM Workplace was discontinued in 2006,[72] speculation about dropping Notes was rendered moot. Moreover, IBM introduced iNotes for iPhone two years later.[71]

IBM contributed some of the code it had developed for the integration of the OpenOffice.org suite into Notes 8 to the project.[73] IBM also packaged its version of OpenOffice.org for free distribution as IBM Lotus Symphony.[74]

IBM Notes and Domino 9 Social Edition shipped on March 21, 2013.[75] Changes include significantly updated user interface, near-parity of IBM Notes and IBM iNotes functionality, the IBM Notes Browser Plugin, new XPages controls added to IBM Domino, refreshed IBM Domino Designer user interface, added support for To Dos on Android mobile devices, and additional server functionality as detailed in the Announcement Letter.

In late 2016, IBM announced that there would not be a Notes 9.0.2 release, but 9.0.1 would be supported until at least 2021.[76] In the same presentation IBM also stated that their internal users had been migrated away from Notes and onto the IBM Verse client.

On October 25, 2017, IBM announced a plan to deliver a Domino V10 family update sometime in 2018. The new version will be built in partnership with HCL Technologies. IBM's development and support team responsible for these products are moving to HCL, however, the marketing, and sales continue to be IBM-led. Product strategy is shared between IBM and HCL. As part of the announcement, IBM indicated that there is no formal end to product support planned.[77]

On October 9, 2018, IBM announced IBM Domino 10.0 and IBM Notes 10.0 in Frankfurt, Germany, and made them available to download on October 10, 2018.[78]

Prior to the 2018 sales to HCL, IBM made announcements that it continues to invest heavily in research and development on the IBM Notes and Domino product line.

  1. Fixed a crash running transforms on large datasets due to an error in memory management.
  2. Changed the Date/Time format in the header of statistics and regression reports to use the Regional Settings choices for Date and Time as the default. When using the selections in Regional Settings, only the long date and long time formats are displayed.
  3. Asymmetric error bar line and scatter plots were not recognized by the Graph Properties and Modify Plot dialogs. The Graph Properties dialog will show the plot type, data format, and column assignments incorrectly. Modify plot will also not recognize the correct plot description and an attempt to add new data will result in a new graph rather than modifying the existing graph.
  4. Bitmap images on a graph page did not export their data from a Plot 14 notebook to an earlier version. When you opened the exported notebook in the earlier version, handles are provided for the bitmap and it has the correct size, but no image appears.
  5. Plot names for nonlinear regression graphs have been modified to better distinguish the plots in the Graph Properties dialog.

Transparency controls on the Line tab in Object Properties have been disabled for edges of solids since SigmaPlot 14 does not support transparency for edges.
  8. A Plot 14 notebook with a graph page containing enhanced metafile images caused Plot 14 to crash if saved or exported. Note that versions of SigmaPlot earlier than 14 did not support enhanced metafile images on a graph page.
  9. If you launched the Date and Time dialog on the Report tab for an open report, selected a format, left the Update automatically check box checked, and pressed OK, then only part of text is inserted into the report. This was a Unicode coding issue.
  10. If a multiple scatter plot is created and is modified in the Graph Properties dialog to use a worksheet column for symbol size, then the plot description in the Graph Properties (select Plot in the tree) gave an incorrect plot type, calling it a bubble plot, an incorrect data format, and incorrect column assignments. The Modify Plot dialog was also affected also if you wanted to add new data to the plot.
  11. Using the ODBC Options dialog from Import Database crashed SigmaPlot. The crash appeared when clicking in the Data Source list box or pressing OK.
  12. Duplicate tick labels could appear on a category axis.
  13. If the Status column for Survival Analysis contained text labels having more than 15 characters, then the labels would be truncated in the last panel of the Test Wizard preventing the labels from be selected for Censors or Events.

Problems fixed in 9.01

  • If a data worksheet was opened so that more than 10 columns were visible, sometimes the first column would be missing from the worksheet. If the worksheet had 10 or less visible columns this problem didn’t occur.
  • SigmaPlot objects pasted into Excel 2003 did not update properly after being edited. The new state was only displayed in Excel after a file save, or after running the “Activate As” dialog.
  • When using SigmaPlot from Excel using Excel Integration an error message occurred when creating a category mean or median graph with SigmaPlot
  • Highlighted worksheet data was not readable in the “Silver” color scheme in Windows XP.
  • The Standard Curve macro did not work with 2 replicate sets of data.
  • The Standard Curve macro did not handle decimal points correctly on European systems. The predicted x values were truncated to 1 digit
  • The Standard Curve macro did not correctly handle columns of data that contained text only.
  • The Standard Curve macro did not always handle worksheets with data to the right of left-adjusted data in German systems.
  • Turning on the “Add Equation To Title” option in the curve fitter would cause the Standard Curve macro to operate incorrectly.
  • Results for a bad non-linear regression (meaningless results) were being reported with a sum of squares of 0.0 and an R-squared of 1.0. These values are now reported as NAN’s (“not-a-number”).
  • The “Help” menu did not function in SigmaPlot if there were no view windows open. F1 did work.
  • The Macro Recorder reversed the row and column parameters when recording a “File Import” operation.
  • Notebook Items could not be printed from the notebook tree control.
  • A new graph was created if you tried to reselect the data columns for an asymmetric error bar vertical or horizontal bar graph using the Graph Wizard from the Graph Properties Dialog.
  • An erroneous error message was given in the combined version of SigmaPlot and SigmaStat if you chose a SigmaStat Graph in the Graph Wizard and selected an output column for that graph, and then changed to a SigmaPlot Graph the did not require an output column and there was data in the originally selected output column.
  • Filled contour graphs sometimes drew out of the graph area when a manual Y-axis scale was used.
  • Notebook item summary information was not being saved for SigmaPlot 8 files opened in SigmaPlot 9.
  • Symbols-from-a-column in SigmaPlot 8 files were not always being properly displayed in SigmaPlot 9.
  • Date information was being truncated in the worksheet if it was inadvertently edited and the date format was an abbreviated format that did not contain the complete date.
  • “Sample Files” in the Help menu could not be viewed with Mozilla-based browsers.
  • Y-only graphs that used data point sampling to display only a portion of the graph were displayed differently than in SigmaPlot 8.0. The ordinal value of each point was used for the X value rather than the row number. (And vice versa for X-only plots).
  • The ANOVA table in the Curve Fit report has been changed to include both the means-corrected and non-means-corrected sum of squares. The R-squared computation has been changed to always report the mean corrected value.
